Here’s what happens to the call you couldn’t get to.

Helen rang Knock-Through Ralph about an extension while he was up a ladder. Scroll down and follow her job from that missed call to the review it ended with. Ralph does five things along the way. Ralphio does everything else.

Week 1 · Thursday

10:42

Helen rings while you’re up a ladder

She won’t leave a voicemail. Most people don’t. Nine seconds later she’s had a text in your name asking what the job is, with a link to your WhatsApp if she’d rather message there.

  • Texted Helen back in 9 seconds

Week 1 · Thursday

10:44

It asks the questions, then books the visit

How soon, and her name. You get the job by text, marked hot, and Helen gets a link to your diary. She picks Monday at 8:30 and you OK it with one tap at lunch.

Found you on Google at 9pm instead? The chat on your website does the same. See the chat →
  • Asked the questions, texted you the job
  • Sent her your diary
  • One tap to OK the visit

Week 1 · Sunday

18:00

A reminder the night before. You go round and price it.

Send the price from your quote template and the job moves to Quoted by itself. From then on, it keeps an eye on it.

  • Reminder the night before
  • Went round, sent the price
  • Marked it Quoted

Week 2 · Saturday

09:15

Nothing back, so it chases. Then she says yes.

Three days after the price, Helen gets a friendly check-in. She replies, the chasing stops by itself, and you ring her to sort a start date. If she’d stayed quiet, it would have tried again after a week.

  • Chased once, stopped when she replied
  • Rang her for a start date

Week 14 · Friday

15:50

You tap Done. It asks for the review.

Twenty minutes after you’ve driven off, Helen gets a text asking for a Google review, with one reminder if she forgets.

  • Built it, tapped Done
  • Asked for the review

Ralph did five things. One of them was building an extension.

Every enquiry gets a sheet like Helen’s, whether it came in by phone or through your website.

It does the admin. You get on with the job.

No ringing back from the van, no quotes scribbled in a notes app, no remembering who to chase at ten at night. It all happens while you’re on the tools, and you only step in for the bits that need you.

What you do

  • Turn up
  • Price it
  • Do the job
  • Tap Done when it’s finished

What it does

  • Answers the calls you miss
  • Asks what the job is
  • Books the visit and sends the reminder
  • Chases the quote
  • Asks for the review

And the rest of the admin

  • A morning updateA text at 7am with what came in overnight and today’s visits.
  • Weather check-insAfter a storm or before a freeze, past customers hear from you first.
  • Service remindersBoilers, gutters, anything with a yearly check.
  • A nudge when it’s quietA message to past customers when the diary’s light.
  • “On my way” textsOne tap and they know you’re ten minutes out.
  • Out of hours, only emergenciesEverything else waits for the morning. You decide what counts.
  • One inboxTexts, WhatsApp, website chats and Facebook messages, all in one place.
  • Your list, on your phoneEvery enquiry and where it’s up to, without a spreadsheet.
  • A monthly reportWhat came in, and what it turned into.

Need something that isn’t on the list? If it saves you time and it’s within reason, I’ll build it. A price list sent when someone asks about boilers. A text to your partner when a big job lands. A reminder to book the scaffolders.

Your job sheet’s a lot shorter than Helen’s. The clock runs Monday to Friday, and starts once you’ve sent a logo and answered the setup questions.

You keep your number and your phone. On the call you dial one short code, and from then on the calls you don’t answer get texted back instead of going to voicemail. How that works. Moving a number across is there if you want it, and runs on the network’s timeline, not mine.

Helen was one missed call. How many do you get?

Stop missing them. It starts with a 15 minute call, on the phone or on Google Meet.
